From AI tools to productive use

Many teams own AI tools but barely use them day to day. This piece shows why adoption stalls and how a defined, measured start closes the gap.

Many mid-sized companies in pharma, diagnostics and engineering already pay for AI tools. Microsoft 365 Copilot is in the tenant. A few people try it out. Yet six months later little has changed in daily work. The tools are there, the value is not.

Why does adoption stall?

The gap is rarely the technology. It is the bridge between an available tool and a team that uses it productively, every day, on real work. Three common approaches each cover only part of that bridge:

  • Classic strategy consulting delivers slides and a roadmap and leaves before anyone uses anything.
  • Classic training teaches features in a workshop, with no strategy behind it and no support afterwards.
  • Pure implementation installs the software with no organisational or strategic grounding.

Each approach is useful. None gets a team across the bridge on its own.

What works instead?

Adoption starts moving when strategy, enablement and hands-on support arrive together, defined and time-boxed. In practice that means a few lighthouse people, a clear scope and real support in daily work rather than a one-off training.

It also means measuring the result. A short survey at the start and the end turns “people seem more confident” into a number you can work with. In regulated settings that evidence counts twice: for the business case and for compliance.

How does a defined start work?

A tool only becomes useful on a real, recurring task. Instead of generic feature training, use starts on concrete steps, for example a simple prompt for the daily summary:

Summarise the results of our last team meeting in five bullet points and flag open tasks with their owners.

That is the idea behind AI - CoAction: an 8 to 10 week program of assessment, training for up to 12 people, six weeks of one-to-one support and a measured before-and-after. It is not about doing everything at once. It is about making one team genuinely productive, with evidence, and growing from there.

If your tools are in place but the value is not, that is the gap to close first.

Frequently asked questions

We already have the tools. Why does barely anyone use them?

The tools are rarely the problem. What is missing is the bridge from an available tool to a team that uses it every day on real work. That bridge needs strategy, enablement and support together, not one after another.

How long does a defined start take?

Usually 8 to 10 weeks. That is the frame of AI - CoAction: assessment, training, six weeks of one-to-one support and a measured before-and-after.

How do we measure whether it works?

With a short survey at the start and at the end. That turns the impression that people seem more confident into a number you can use in the business case and in compliance.

Do all staff have to join at once?

No. A defined start begins with a few lighthouse people who make the use visible in the team. Adoption grows from there.
